Member Assistance Program (MAP)

What is the Member Assistance Program (MAP)?

Member Assistants do general work within ICC central in exchange for house chore hours. This work can range anywhere from serving on a committee, working at the front desk in the housing office, or recording meeting minutes, just to give a few examples. The Member Assistance Program (MAP) helps the ICC run efficiently and keeps charges low. When we don’t have members to complete this work, we have to hire someone to do it, which increases our charges and reduces other important items like improved house systems and educational events.

This is the official tracking log for recording MA hours. This spreadsheet should only be edited by the MAC and supervisors to log their member assistants’ hours. This spreadsheet should give a fairly accurate account of hours owed, fines due, etc., and should be updated at least bi-weekly by the supervisors. Before fines are assessed at the end of the term, the MAC will confirm missing hours with supervisors and offer makeup hours during the last month of the term.

January 16th – April 16th are the official tracking start and end times. We will allow two extra weeks for makeup hour opportunities after April 16th at each supervisor’s discretion.

Note: there are 13 weeks on the schedule and MAs can work all 13 of them, but we are only requiring MAs to complete 12 weeks of work. This is to accommodate for scheduling challenges during spring break. It is left up to the MAs to decide with their supervisors how they would like to arrange their schedules to fit their needs. Consider this a ‘freebie’ of sorts which can be used for any given week.

The Ideal Member Assistant…

  1. Is available to take up at least 3 hours of Member Assistance labor.
  2. Will be here the entire semester.
  3. Communicates proactively and consistently, informing their Supervisor and the Member Assistance Coordinator (MAC) of any changes in status and/or availability.
  4. Makes a deliberate effort to find and complete make-up hours when necessary.
  5. Is motivated to contribute to and get more involved in the functioning of the ICC.

MA Positions

Alumni Team Member

  • Job Description: Expected to attend AT member orientation / training at the beginning of the semester. Continue to attend weekly or biweekly AT Meetings (1.5 hours). Plan & attend at least 2 events per semester with AT staff / leadership.Plan & help manage at least one program (i.e. scholarship, mentorship program) per semester with AT staff / leadership. Communicate any scheduling limitations with the AT leadership.
  • Hours and Shifts: Shifts: 2-3 hours weekly. Includes regular weekly meetings—generally in the evening M-F. Also includes participation in scheduled Alumni Events throughout the ICC fiscal year
    • Meeting times: Wednesdays or Thursdays from 4 – 5:30 pm or Wednesdays from 7 – 8:30 pm. Meetings will initially be held over Zoom, with the possibility to move back to in-person meetings by the end of the semester

Dispute Assistance, Action, and Resolution Team (DART) Member

  • Job Description: Serve on the Dispute Assistance, Action, and Resolution Team (DART) and create & present educational workshops related to conflict resolution and healthy communication; assist in promoting DART as a resource throughout the ICC, gaining knowledge of ICC policies such as referral, banning, and expulsion. Moses Coady/Paulo Freire Education Center (Ed Center) Facilities Support

  • Job Description: The Ed Center Cleaner has the primary responsibility for keeping the Ed Center clean, organized, and in working order. They straighten furniture, vacuum upstairs and down, clean the small kitchenette (scrub sink, wipe counters), clean coffee machines, wipe tabletop & surfaces, wipe out fridge and microwave, clean & sanitize bathrooms, clean windows, and empty trash and recycling. Size, Management, and Restructuring Team Member

Members must attend biweekly meetings to discuss long term goals for the ICC. Outside of the meetings, members will investigate potential properties in the housing market and work on a project plan. Members must report progress and updates to the VP for Facilities and the GM along with assisting the VP Facilities with preparing the annual report for SMART.

Member Assistance Coordinator (MAC) Assistant

MAP People

  • If you have been assigned a position, you must get in contact with your supervisor, as indicated in the notification email sent by the Member Assistance Coordinator.
  • If you have not been assigned a position, it is your responsibility to stay-up-to-date with your emails so that you do not miss your work assignment. Make sure to fill out the Member Assistance Preference Survey to assure the Member Assistance Coordinator can assign you to a position that fits your skills and availability. Please contact ma@icc.coop if you have not received an assignment by the third week of the term.
  • Member Assistants are responsible for reporting to their assigned task, completing their work, checking in with their supervisor, and informing supervisors whenever they cannot make their hours and/or need to readjust their schedule

Supervisors are typically ICC Staff, the Coordinating Committee, and Team Chairs. They are in charge of monitoring their Member Assistants’ labor and assigning the work to be done.

Responsibilities include:

  • Consistently logging Member Assistants’ hours at least bi-weekly in the following format:
    • Log a “0” when Member Assistants did not complete their work.
    • Log the correct number of hours a Member Assistant has worked.
    • Do not leave your slots blank! This is the only way to communicate that you have been logging your hours.
    • If there are any discrepancies in logging hours (such as a project being backloaded later in the semester) indicate this with a note in the slot.
  • Communicate efficiently and quickly with member assistants, giving them clear instructions and ample time to complete their work.
  • Communicate with the Member Assistance Coordinator to verify any changes in work, scheduling issues, if a workload has increased or reduced, or to report if a Member Assistant is not completing their work.

The Member Assistance Coordinator is a relatively new ICC position. They spearhead the Member Assistance Program by creating the work schedule, monitor member assistants’ hours, offer makeup work, and distribute fines. The MAC is appointed by the ICC President and approved by the Coordinating Committee, receives full in-house work credit, and may be compensated through a scholarship equal to half of ICC house charges. Preference for the position is given to returning Board Reps, but is open to all membership.

Other responsibilities include:

  • Maintains extensive knowledge of the MAP
  • Attends at least one meeting to assess labor priorities with the president and General Manager
  • Participates in New House Officer Training as needed
  • Communicates directly with Work Managers to ensure the MAP is included in house work schedules
  • Provides the Board of Directors an update on the program at least once a year
  • Sits on the Board of Directors (BoD) and Member Resolution Panel (MRP)

Work Managers (WMs) play a crucial role in assigning the actual member assistants who will be participating in the Member Assistance Program.

Duties of Work Managers regarding the program include:

  • Selecting MAs for your house by following the guidelines on the “Ideal Member Assistant” section of this page.
  • Ensuring that your house’s MAs fill out the Member Assistance Preference Survey ASAP so that your house can begin work.
  • Periodically checking on your MAs to provide them the opportunity to bring up any pitfalls, concerns, or problems with fulfilling their duties, and report the issues to the MAC to find a solution.
    • If you see an MA falling behind on their required hours and have alternative in-house chores to make up for this, please fill out this form.
  • Communicating with the MAC anytime you are having issues regarding the MAP.
  • If a MA leaves your house prematurely, assign a new MA for your house, have them fill out the Member Assistance Preference Survey, and notify the MAC of the change.
  • Negligence to assign MAs for the term will result in a fine for the missed hours to either the WM or the House as a whole.

MA FAQ’s

It is a requirement for each house to contribute hours each term towards central operations of our co-op. Some Member Assistance positions are weekly while others are project-based and may be more flexible. Work Managers are responsible for budgeting 1 work hour per 3 members for every week of the term during Fall/Winter and 1 work hour per 4 members in the Spring/Summer when our occupancy is lower.   

At the beginning of the term work managers will receive an email containing a form to forward to house members interested in completing member assistance hours. This form will help place the member in a position or tasks they would prefer or be excited to do.

  • Several Member Assistance tasks can be flexible with hours.
  • There will be opportunities to make-up missed hours.
  • Members will get to experience how the ICC functions centrally.
  • Members can meet people from other houses and learn more about the organization and cooperative housing.
  • Good work experience that can be used to build your resume.
  • Some members prefer doing Member Assistance over bathroom cleans or cooking!
  • The tasks range from helping out in the Ed Center to compiling the Annual Report.

In 2017-18 the Board of Directors approved a new position called Member Assistance Representative. They partner with the ICC President and General Manager to evaluate the needs our community and then manage the day-to-day operations of our program. Emails will come from ma@icc.coop.

  • Try to get members who can devote no fewer than 3 hours per week (differs slightly per task), who can be held accountable, and confident that they can do it.
  • Communicate with the Member Assistance manager, the faster you reply the faster we can get projects and the office running.
  • Every couple weeks check up on the hours being completed, so that if make-up hours are needed they won’t be last minute.

If work managers or the member responsible for completing Member Assistance is not in communication with us about making-up hours then houses are subject to a fine up to $15 per missed work hour. However, we want to work with you to ensure this is not the result.
