House Officer Information

Each house is democratically run by the members is supported by a group of folks called House Officers. Officers embody the ethic of stewardship in our homes. Members look to House Officers as role models for house culture and as leaders they can trust.

These specialized positions (below) are required in every house and come with complete training and lots of support, so please be encouraged to try it out! Regardless of how much experience you have with the ICC, anyone can be a House Officer!

Elections

Fall/Winter

House President and Board Representative are elected at the end of the Winter term for the upcoming Fall/Winter terms. This must happen at the Fall room picks meeting.

All other House Officers are elected at the first house meeting of Fall and Winter terms.

Spring/Summer

All Spring/Summer House Officers including House President and Board Representative) are elected at the first house meeting of Spring/Summer term.

Turnover

House Presidents must complete the Leadership Turnover Form after each election.

Standing Rules, Chapter 14

Powers & Responsibilities

  • Ensure the sanitary condition of the kitchen and pantry to avoid inspection failure and meet house standards, using prior Kitchen Manager guidelines, ICC sanitation inspection form, and the U of M Off-Campus Housing Sanitation inspection form as a reference.
  • Maintain a constant supply of clean rags, if applicable to your house.
  • Empty the grease bucket at the ICC grease dumpster located at the ICC Education Center whenever necessary, if applicable
  • Check for pests and rodents. Whenever necessary, lay down traps in the area and inform ICC maintenance.
  • Always keep the kitchen stocked with functional disinfectant and degreaser spray bottles at recommended concentrations.
  • Coordinate with the Food Steward to maintain an adequate supply of functional cookware for food preparation and storage.
  • Responsible for monitoring the status and coordinating the maintenance of essential appliances such as the dish machine, refrigerators, freezers, stoves, ovens, food disposals, and cookware, coordinating with Maintenance Managers when appropriate.
  • Ensure kitchen cleaners clean the dish-machine catchment basket/tray at the end of each daily clean.
  • De-lime the dish machine at least once per semester for chemical dish machines.  De-lime the dishwasher at least every two months for heat-based dishwashers
  • Maintain 32 to 40 degrees Fahrenheit in the fridges and less than 28 degrees Fahrenheit in the freezers by regularly checking the thermometers.
  • Empty the fridge condensate pan as necessary; this is particularly relevant in the spring/summer, at least monthly if applicable
  • Ensure that all fridge coils are cleaned and the upper vents above the stove are degreased on every Work Holiday.
  • Ensure proper kitchen etiquette among house members. Schedule a kitchen orientation for all new members within 1 to 2 weeks from entrance into officer position, teaching them how to maintain a sanitary environment and how to utilize the kitchen including:
    • i. Proper use of the stove, oven, dish-machine, appliances, and dishes; including their proper cleaning and maintenance.
    • ii. How to follow EHS sanitation guidelines for keeping food “safe”.
    • iv. How to label food items and store them in fridges, freezers, and food storage areas.
    • v. How to properly store dry good items.
    • vi. How to prevent and address grease fires.
    • vii. The importance of wearing gloves while cooking.
    • How to use and sharpen knifes
  • Ensure proper signage, labeling, and organization throughout the kitchen. Also, ensure the correct and sanitary organization of food:
    • i. Ensure that food is properly sealed and labeled with the date and name. No food may be stored on the ground or exposed to the air. All food must be covered well, with a lid, not cling wrap or aluminum foil.
    • ii. Ensure the cleanliness of the fridges and pantry and ensure all old and/or unlabeled food is thrown out at least once per week.
    • iii. Monitor the amount of cleaning supplies and ensure their proper replenishing by coordinating with Food Stewards.
  • All kitchen chores, including training, are the responsibility of the Kitchen Manager. Work in collaboration with the Work Manager to ensure kitchen cleans are completed properly; assign make-up hours and fines as necessary.
  • Is responsible for the nutritional standards of the cooking. Standards must be clear, concise, and communicated to all cooks. Please be aware of allergies and communicate with cooks as necessary
  • Train and assist house cooks in the safe preparation of food
  • Attend all ICC meetings for house kitchen managers and general house officer meetings.
  • Clean cast irons, cutting boards, kitchen surfaces, drying racks, and appliances at least once a month
  • Coordinate purchases of any small appliances, dishes, silverware and other kitchen items with the Food Stewards

Full Officer Description

Powers & Responsibilities

  • Be responsible for the physical upkeep and functioning of the building, either by personally performing necessary repairs and improvements or contacting the ICC maintenance department.
  • Disseminate what they learn as Maintenance Manager to the rest of the house to educate and empower members to fix things for themselves
  • Plan and complete at least one significant maintenance project per term.
  • Coordinate with the Work Manager and other house officers in planning the Work Holiday each term.
  • Work together with the house president to ensure all house keys are accounted for and back-ups are stocked in the wall-mounted house key boxes.  Copies can be made at the ICC office.
  • Attend/review all ICC Maintenance Team meetings and video tutorials.
  • Establish a system for tracking tools, including both house tools and ICC tools (the toolbox).  Ensure the ICC toolbox and included tools are returned to the Maintenance Department by the return deadline at the end of each semester.
  • Continuously ensure the full functionality of all ICC-provided vacuums. Unclog hoses, clean filters, and replace bags, belts, and filters as necessary. Parts can be obtained through the maintenance staff.
  • Spend designated money from the House Maintenance Budget and the ICC Maintenance Budget as necessary on supplies and projects that improve the safety, proper functioning, grounds, or aesthetics of the House.
  • Oversee fire safety and preparedness in the house.  This can include educating on fire panel/system usage, fire extinguisher usage, maintaining exit routes, posting signage, and communicating at house meetings.
  • Basic care and organization of the maintenance room.
  • Follow any ICC maintenance team’s preventative measures and keep accurate records of housework.
  • Prepare the house in the event of inspections
  • Respond to maintenance requests in a timely manner. Communicate with housemates about timelines and plans.
  • Communicate with maintenance staff through the RFA system when assistance is needed.  Contact by phone in the case of emergencies.
  • Change door entry codes at least once a semester and notify house of the new code.
  • Whenever possible, notify house members of contract workers coming to the house
  • Collaborate with maintenance staff to propose house improvement projects
  • Continually ensure that the conditions of the house are welcoming to new and prospective members
  • Keep housemates informed of work completed and work planned.  If applicable, attend House Council or submit a statement of work done. Consider keeping a log of projects completed, with date and time spent on it as well as posting a maintenance request list.
  • Pass down a log of projects and previous work to the incoming maintenance manager.

Powers & Responsibilities

  • Survey members and create a work schedule within the first week of each term. Update the work schedule as necessary throughout the term to keep things running smoothly.
  • Instruct and train all members how to properly complete their assigned labor
  • Establish temporary chore schedules as necessary during academic breaks and interim.
  • Ensure members are trained on how to complete house chores and other tasks
  • Establish, explain, and post performance standards for each shift duty within the first week of each term.
  • Ensure that a detailed explanation of all housework is distributed to all House members at the start of each term.
  • Establish a fining policy to be released concurrently with the chore schedule; consider bringing to a vote at the next house meeting.
  • Verify that jobs are completed on a daily basis and fine or assign additional work to members who fail to complete assigned work.
  • Outside of the kitchen, maintain the inventory of house cleaning supplies and coordinate with Food Stewards to ensure they are stocked. Ensure spray bottles are distributed and properly filled.
  • Determine the number of work hours that must be completed by each member, and adjust relative to the need and the number of members in the house.
  • Keep track of missed work. Assign make-up hours for members with missed work; may collaborate with kitchen managers and maintenance managers for make-up work projects.If the member misses work and makes up hours, collaborate with the house treasurer to assign fines. Notify the House Council (or other officer feedback system) of any fines levied.
  • In cases of repeated/ongoing missed labor, initiate member referral for non-work along with one other House Officer.
  • Continually enforce the ICC’s Clutter Control Policy to ensure compliance with the City of Ann Arbor’s Housing Code and foster house cleanliness.
  • Connect all assigned members to the Member Assistance Coordinator within two weeks of assignment for effective completion of owed office hours.  Maintain communication with the MAC over hours worked and hours owed.
  • Attend all required meetings and training for housework managers and all other general ICC officer meetings.
  • Update house members and give fair warning on uncompleted chores each week.
  • Post a makeup chore calendar so that it is available for all house members to view
  • Conduct a mid-semester check-in survey and reassess chores if necessary
  • Work with appropriate officer(s) to buy all necessary supplies for the house as delegated/approved by the house
  • Work with maintenance managers, kitchen managers, and other house officers to plan Work Holiday once a semester
  • Provide support for those who cannot complete tasks and work to create roles that work for each individual
  • Consider keeping a public record of completed and incomplete chores.
